RORSA PLATFORM
How we work together
For every project I use a system I built and run myself, Rorsa Platform. It is my CRM and your client portal: where you answer a few questions, send me texts and photos, leave comments on your website itself and find the messages your customers send you.
A few questions behind one link
At the start I send you a link with a few questions about your business and what you want the website to do. You answer without an account, whenever it suits you, and if you like you upload your logo and photos there too.
Each page's text, in its place
If it suits you, you write the text of each page in the client portal, a little at a time, and it is saved as you type. When a page is ready, you send it to me. If something is still missing, I send it back with a note, so you know what it is.
Comments on the page itself
While your website is being built, I send you a link to it. You press "Leave a comment", then the spot you mean, and write what should change. If it helps, you draw an arrow or a box on the page.
The comment reaches me with the page, the spot, your screen size and the version you were looking at, so you never have to describe where exactly the thing you want changed is.
On every comment you see whether I have seen it, whether I am working on it or whether it is done, and then you confirm it or reopen it yourself. You need no account to comment, and your website's visitors see none of this.
Your customers' messages
On the websites I build, the contact form sends messages to my own form system, not to a third-party form service. There they are checked for spam, and the genuine ones reach your email. If you have a portal account, you also find them there, search them and download them as a file.
After launch
For the websites I look after, the system checks every 15 minutes that the website responds, and alerts me if it stops or if its security certificate is about to expire. Once a day it checks the domain's settings, such as those for email, and once a month it goes through the website's pages for technical errors and SEO issues.
If you have a portal account, a short report reaches you at the start of every month: how many messages came in, how available the website was, when the certificate expires, how many comments were opened and closed, and the score of the latest check.
Who has access
Only I open portal accounts, by invitation, for anyone I work with who asks for one. You see only your own data, and your session closes by itself if it is left open and unused.
What you own
Your texts, files and messages are yours. If we stop working together, I hand them to you in plain files that open anywhere: brand files as a ZIP, texts as text files and messages as CSV.
Where it is stored
The system runs on a server I rent from netcup, in Austria, and its email goes out through servers in Frankfurt. What I keep, for how long and what your rights are is set out in the privacy policy.
